Manage price sheets

Goal

To create and manage price sheets that define customized pricing and discount rules for specific users. Price sheets enable flexible pricing strategies by allowing you to assign different discounts to companies, contacts, customers and user groups without modifying base product prices.


Understanding Price Sheets

Price sheets are flexible pricing tools that allow you to:

  • Define custom discounts for products, categories, or price groups
  • Assign different pricing to specific users or user groups
  • Set priority levels when multiple price sheets apply
  • Configure time-based pricing with validity periods

Step 1: Navigate to Price Sheets

  1. From the backoffice menu, select Pricing and then Price Sheets.
  2. The price sheets list displays:
    • Code
    • Name
    • Description
    • Priority
    • Readonly status
    • Date created
    • Date modified

Step 2: Create a New Price Sheet

  1. Click the New Price Sheet button in the top right corner.
  2. You'll be taken to the price sheet creation page with three tabs: Description, Discount, and Users.

Step 3: Configure General Information

In the Description tab, complete the following fields:

General Section

  • Code: Enter a unique identifier for the price sheet
    • Used for system identification and integrations
  • Priority: Set the priority level (lower numbers = higher priority)
    • Determines which price sheet applies when multiple sheets are assigned
  • Name: Enter a display name with language selector
    • This appears in lists and reports
  • Description: Add a detailed description with language selector
    • Helps users understand the price sheet's purpose
  • Readonly: Toggle to prevent modifications after creation, often dictated by ERP

Click Save to create the price sheet before proceeding to other tabs.


Step 4: Add Discounts

After saving, navigate to the Discount tab:

Add Discount Items

  1. Click Add discount item button.
  2. Choose the discount scope:
    • Product: Apply to specific products
    • Categories: Apply to entire product categories
    • Price Group: Apply to predefined price groups

Configure Product Discounts

  1. If selecting Product:
    • Search and select products from the list
    • Click Add products to confirm selection
  2. For each product, configure:
    • Value: The discount amount or percentage
    • Discount type:
      • List price minus a percentage: Reduces from list price
      • Cost price plus a percentage: Adds margin to cost
      • Fixed amount: Sets absolute price
    • Quantity from: Minimum quantity for discount application
    • Valid from/to: Date range for the discount

Configure Category or Price Group Discounts

  1. Select categories from the hierarchical tree or price groups from the list
  2. Only percentage-based discounts are available for categories and price groups
  3. The discount applies to all products within the selected category or group

Step 5: Assign Users

Navigate to the Users tab to assign the price sheet:

Companies

  1. Click Assign new companies.
  2. Search and select companies by:
    • Company ID
    • Name
    • Email
    • Phone
  3. Selected companies appear in the list.

Contacts

  1. Click Assign new contacts.
  2. Search contacts within assigned companies by:
    • Contact ID
    • Name
    • Email
    • Phone
    • Company affiliation

Customers

  1. Click Assign new customers.
  2. Select individual customers (B2C users) by:
    • Name
    • Email
    • Source

User Groups

  1. Click Assign new user groups.
  2. Select predefined user groups that will receive the pricing.

Step 6: Save and Activate

  1. Review all tabs to ensure configuration is complete.
  2. Click Save in the top right to activate the price sheet.
  3. The price sheet will immediately apply to assigned users.

Managing Existing Price Sheets

Edit a Price Sheet

  1. Click on any price sheet in the list to open it.
  2. Navigate between tabs to modify different aspects.
  3. Changes save automatically or click Save to confirm.

Adjust Priority

  • Use drag-and-drop in the price sheets list to reorder priorities
  • Lower numbers take precedence over higher numbers
  • Filtering disables drag-and-drop functionality

Delete Items

  • Remove discount items by using delete buttons within the Discount tab
  • Unassign users through the respective sections in the Users tab

Best Practices

  • Naming Conventions: Use clear, descriptive names that indicate the price sheet's purpose (e.g., "Q1_2025_VIP_Customers", "Wholesale_Partners_2025")
  • Priority Planning: Reserve low priority numbers (1-10) for critical price sheets
  • Testing: Always test price calculations using the Explain Price feature in the pricing tab of a specific product in PIM
  • Validity Dates: Set end dates for promotional pricing to ensure automatic expiration

Common Use Cases

Customer Specific Pricing

Apply the agreed contractual rates with your customers on their catalogue.

Volume Discounts

Create tiered pricing based on order quantities:

  • 10+ units: 5% discount
  • 50+ units: 10% discount
  • 100+ units: 15% discount

Customer Tier Pricing

Assign different price sheets by customer value:

  • Silver customers: 5% on all categories
  • Gold customers: 10% on all categories
  • Platinum customers: 15% on all categories

Seasonal Promotions

Time-limited discounts with validity periods:

  • Black Friday: 25% off selected products (Nov 24-27)
  • Summer clearance: 30% off seasonal categories (Jul 1-31)

Partner Pricing

Special
